  • Happy Holidays!

    Deck the halls with boughs of holly, 
    Fa la la la la, la la la la. 
    Tis the season to be jolly, 
    Fa la la la la, la la la la. 

    I don't know about you, but I'm getting excited about the holidays this year. Maybe it's because I've been listening to the Christmas station on Pandora for the past week! Or maybe it's because I know that in just a few days there will be A Christmas Story marathon on TV!

    As we wind down on another calendar year, we'd like to take a moment to say thank you for your continued business!  We have so many great stories to tell of clients who are more efficient and able to better manage their daily business because of policyIQ and the support that they have received from Resources Global Professionals.  We have dedicated the month of December to sharing some of those success stories.  We hope you've enjoyed reading them throughout the month here on our blog.  (Share yours with us, and we'll be sure to feature you in the coming months!)

    You may have noticed that we have taken a break from our monthly CPE sessions for December (our Christmas present to our team), but will be back in January with a CPE event about those "roll-forward" activities that so many of you must perform as you wrap up your fiscal or calendar years. 

    In the meantime, we want to wish you the very happiest of holiday seasons wherever you might be across the globe and whatever holiday you are celebrating this December!  We're looking forward to a new year full of possibilities.

  • Great Lakes Dredge and Dock pushes the limits and continues to add value!

    It's no secret that the most successful people are the ones who push the limits and (sometimes) break the rules.  So it should come as no surprise that the many of our most successful policyIQ clients are the organizations with users who are trying new things and pushing the limits of the product every day.

    Great Lakes Dredge and Dock (GLDD) is a worldwide provider of dredging services.  I didn't know what that was, either, until I met the team at GLDD.  "Dredging" is the process used to create and maintain various types of waterways across the world, such as harbors, rivers, etc.  The organization has been around since the 19th century, and has been involved in an impressive number of critical infrastructure projects since that time.  While their operations are fascinating (at least to me), it's their back-office creativity in policyIQ that we want to highlight today.

    Implementation was a breeze

    If you asked Travis Heyer, Manager of Internal Audit at GLDD, how long it takes to implement policyIQ, he will tell you "one week".  That's how long it took him and Paul Brauweiler, Resources Global Professionals' consultant, to configure policyIQ and import the existing SOX content to prepare for launch.  When Mr. Heyer purchased policyIQ, it was with the intention to use the application to manage the Risks, Controls and Testing for the Sarbanes-Oxley compliance process.   (The Quarterly Representation Letter, also planned for initial implementation, would be launched after that initial week of work.)  It was an impressive, efficient and remarkably smooth implementation.

    But wait, there's more!

    After such a smooth start, Mr. Heyer recognized the value that policyIQ was able to offer in the compliance and audit groups, as well as throughout the rest of the organization.  Additional processes have been implemented to gather critical information on all spreadsheets used in the preparation of financial reporting, policies and procedures are being communicated, and GLDD has even explored the use of policyIQ to assist in the administration of their contracts.

    Foreign Corrupt Practices Act gets its own focus

    Perhaps most interestingly, Mr. Heyer has created a section of policyIQ dedicated to capturing all of the critical information related to the Foreign Corrupt Practices Act (FCPA), a compliance area that has recently become a focus for many organizations.  In this FCPA area, GLDD employees and auditors can find policies and procedures, training materials, audit documents and due diligence materials that cover the FCPA process at GLDD.

    Throughout the implementation and growth of policyIQ at GLDD, Mr. Heyer has continued to find new ways to bring value to his organization with policyIQ - and we know that he isn't done yet!

  • Asarco improves oversight in Account Reconciliations

    Many of you attended our training session last July when Patrick Griffiths of Sirva took us through their use of policyIQ for account reconciliations - but Sirva isn't the only organization realizing huge benefits by using policyIQ for tracking account reconciliations.

    Trouble keeping track of the reconciliation process

    I'd like to introduce you to Ralph Rhoads, Senior Specialist - Accounting, at Asarco, LLC in Tuscon, Arizona.  Asarco is one of the world's leading producers of copper, and has been in the business of mining and copper production for over 100 years.  In early 2009, the team at Asarco came to us looking for a way to better manage their account reconciliation process.

    With over 400 accounts that were reconciled on a monthly basis, and another 300 that are reconciled quarterly, the accounting managers at Asarco had their hands full trying to stay on top of the reconciliation process.  Were reconciliations being done on time?  Were they reviewed by the right individuals?  Was the documentation being stored appropriately?  With no automated way to keep track, these were not easy questions to answer.

    Bring in policyIQ

    After making the decision to implement policyIQ for Account Reconciliations, Ralph and the team at Asarco worked with the policyIQ team to create a template that captured the specific details that they wanted to be able to report on every month.  Those details are things like the account name and number, the total account balance, and the amount of any unreconciled balance.  The full detail of the account reconciliation is still captured in their Excel format, which is completed and attached to each reconciliation form.

    After the initial setup, policyIQ was rolled out for a few months as a "pilot".  Those individuals completing reconciliations tried out the new process and provided feedback.  The pilot resulted in a few changes to the template and the overall process - but was largely met with a positive responsive.  For those doing the reconciliations, it required little extra effort to enter the details into policyIQ - but it was easy to track what was complete, what was still to do, and what hadn't been reviewed yet.

    For the reconciliation reviewers, the oversight into what was completed and what was still outstanding gave them the tools they needed to keep on top of the process. 

    The auditors are given access to policyIQ, with the ability to drill into any month and view the complete reconciliations and all attached supporting documentation.  There is no longer any question about whether the right information is being retained - it's all right there in one place.

    We asked Mr. Rhoads if he could sum up the benefits that Asarco has realized since implementing policyIQ:

    The use and implementation of policyIQ at Asarco cannot be readily measured in terms of cost savings or time savings, however, there is an obvious efficiency return, in terms of how the reconciliation process can be tracked and viewed by the system clients. The ability to create custom reports on the process, allows our managers and reconcilers to track the stages of completion, for their assigned reconciliations. Additionally, the auditors can view the reconciliations and track any uncompleted or overlooked accounts.

  • Boston Private reminds us to check in on every "happy" policyIQ user

    While we're featuring "Customer Success" throughout the month of December, it's important to keep ourselves grounded.  We're proud of the product we have created and the success that it has enabled in so many organizations - but not all of our clients are happy all of the time, and we're well served to remember that.

    Boston Private Wealth Management Group has been a long-time client of policyIQ; some of you may remember a speaker from their organization presenting at our first user conference in 2006.  Individuals from Boston Private have since moved on to other organizations, and referrals from their former employees have led to several additional policyIQ sales.  Given such a history, it's easy to imagine why one might assume that our client was 100% completely satisfied with policyIQ.

    In August of this year, I reached out to Connie Mish, the Sarbanes-Oxley Analyst at Boston Private who had been charged with managing their policyIQ implementation.  Connie had recently taken over the role from someone else, and it was the first time that she and I had the opportunity to speak.  Suzan Beauregard, Connie's supervisor and the Vice President and Assistance Corporate Controller, joined us on the call.  I was looking forward to meeting a few new people at this long time, "happy" client.

    The conversation was very different than my expectations.  Connie and Suzan expressed dissatisfaction and frustration.  To them, the product seemed to be too complicated, too slow and too inconvenient for their daily work.

    Yikes!   What happened to our happy customer?

    Turnover, organizational changes, and simply time had eroded the once smoothly running process in policyIQ.  While I had continued on with the assumption that everything was just fine for them.

    Why am I telling you this story during "Success Story" month?

    The ending is a happy one.  The fact is that over time, as people shift around, organizations change and content builds up, the original policyIQ configuration may no longer be optimal for your users.  In the case of Boston Private, we worked together to make some adjustments to the Folders, so that there weren't so many levels to drill down into to get to the relevant information.  Connie also became more familiar with our support team - who she now knows can offer immediate solutions if a question crops up.  (Sometime they can even work miracles when data is mistakenly changed - but that's a story for another time.)  The results were a product that is easier to navigate for their SOX team, and a broadening of the understanding of policyIQ's capabilities.  We've even had an opportunity to present policyIQ to the Internal Audit department, who may now explore how to further expand the use of policyIQ within the organization.

    When asked to comment for this blog post, Suzan named our support representatives personally.  "John and Brian's customer care is a primary factor in retention."  (We love them, too - but it's always nice to hear it from someone else.)

    As for Connie, in her own words, "I am your biggest cheerleader at Boston Private and will help in any way that I can!"

    Happy customer once again!

    The lesson for us is to never take a happy customer for granted.  We want to make sure that we are working hard every single day to KEEP you happy.

  • Global streamlining leads to PDIC success

    To kick off our month of success stories, I wanted to start by introducing our policyIQ community to the team at Phelps Dodge International Corporation (PDIC).  PDIC is a manufacturing organization, creating high quality wire and cable products throughout the world.

    Spinning off and taking policyIQ along for the ride

    In 2007, the PDIC division was spun off of another one of our policyIQ clients and was acquired by General Cable.  When spinning off from their previous parent organization, the team at PDIC decided to continue the use of policyIQ to manage their Sarbanes-Oxley content.  They were able to hit the ground running by bringing over many of their existing Risks, Controls and Test procedures directly from the existing policyIQ site of their then parent company, without having to re-implement or re-invent the wheel.

    Standardize and streamline to build efficiencies across the globe

    In 2007, I was introduced to Gaylord Haas III, the Director of Compliance, Risk Management and Treasury.  Mr. Haas was responsible for the management of the SOX documentation and testing for PDIC, among an impressive list of other responsibilities.  With locations all over the world, he found himself challenged by each location's minor differences in documentation and processes - and he set out to streamline and standardize across every location. 

    We started by identifying the "best" process - the process that should be used by all locations across the world.  While it was a great benefit to start with the content in the previous parent company site, it was also necessary to revisit the structure - including the organization of content and the fields that were used to capture data - to be sure that it was in line with the new spin-off organization.

    With a solid structure in place, the actual Risks and Controls were the next focus of review.  By travelling to many of the locations personally, Mr. Haas was able to gather all of the location-specific documentation and truly understand any real (versus perceived) differences in the procedures.

    While some differences still remain, Mr. Haas was able to identify a standard set of Controls for all locations, now documented in policyIQ and organized by Business Process.  Controls that might be unique to a specific location are also documented within each Business Process and identified as such by a naming convention that adds a unique country code.  For example, "AP-12: Three Way Match" identifies a Control present at most locations, while "AP-12-ZA: Three Way Match" identifies one that is unique to Zambia.

    Making your locations self-sufficient

    In addition to streamlining the Controls, Mr. Haas also set about training each location to be more self-sufficient with their documentation of Testing.  Controls are tested monthly, quarterly or annually at each of almost 20 different locations.   By identifying the right individuals at each location, the team at PDIC has been able to assign testing out at each location and report on the status of testing at any given time.   While Controls are now standardized and centralized, the testing process has been truly pushed out to the front line across the world.

    Continue to expand and continue to bring on the best and the brightest

    While PDIC continues to acquire new locations, each location is brought into the Sarbanes-Oxley process in roughly the same way.  The standard set of Controls are reviewed and any customized Controls can be documented, if necessary.  A new folder is created and a new group is added to accommodate the new location.  Test pages are created for every Control at the new location, and the appropriate individuals are identified and trained to complete the testing.  (Five new locations have been added since the start of the streamlining process.) 

    Earlier this year, Mr. Haas introduced the policyIQ team to Ms. Viviana Valentini, the new SOX Manager hired by PDIC to take on the management of the SOX process.  Almost immediately, Ms. Valentini picked up where Mr. Haas left off - building additional efficiencies, considering on-going training for users and making the process as simple as possible for the individuals tasked with testing and documentation at each location. 

    We asked Mr. Haas and Ms. Valentini to summarize their experiences with policyIQ: "Having policyIQ as the mechanism used to document the testing results of PDIC’s SOX Controls for all of the various locations around the world has been a great tool which is constantly assisting us to manage and coordinate the testing that is taking place simultaneous in all of our different locations. policyIQ is our device used to evidence, document and improve our control environment in a timely manner.

    On behalf of the policyIQ team, we just want to say thank you for making us successful.
