  • Internet Explorer Add-ons and policyIQ

    Add-ons can affect the way that your Internet Explorer browser interacts with websites and applications on the Internet.  I've listed two examples below of browser add-ons affecting the way that a user interacts with policyIQ.

    In our first example, a user logs into policyIQ and attempts to access their Checked Out To Me menu item to edit Pages.  The pagination bar lists 7 Pages available to edit, but the user has only whitespace in the center Table pane:

    It's likely that your "XML DOM Document" add-on has been disabled in Internet Explorer.  This can be re-enabled by using the Tools>Manage Add-ons>Enable or Disable Add-ons option on your Internet Explorer toolbar.

    In our second example, a user is working with a Page in the Edit window, but upon saving an "Error on Page" icon appears in the lower-left corner of the screen in the Status bar every time they attempt to save the document.  If you double-click on the "Error on Page" icon in the Status bar, a message "tagname is null or not an object" appears.

     

    We've found that browser add-ons for the DivX web media player need to be temporarily disabled when editing Pages in policyIQ.  Similar to the process above, navigate to your add-ons via Tools>Manage Add-ons>Enable or Disable Add-ons and locate the enabled add-ons related to this media player.  There are around four that are installed with the media player, and they are easy to locate as the "Publisher" column will list "DivX, LLC".  Change the status of these add-ons to "Disabled", and the error above will no longer occur when you use the Edit Pages window.

  • Would you like to get to know me better?

    I am your policyIQ site and while we may have known each other for a while now, I’m sure that there are a lot of things about me that you have yet to discover.

    I really pride myself on being a great communicator.

    I set out to tell you about some of my less obvious qualities in a recent training session (check out the recording of “policyIQ: Did you know?”) and came to realize that all of the features that I wanted to highlight had something to do with communication!

    I also found it interesting when I looked at these features and thought back to all of the times that you gave me feedback about my performance and how I could make life easier for you—I’m proud that I’ve worked for nearly 10 years to really make improvements and to respond to your feedback. I know that I can’t be all things to all organizations, but I really want to be the best that I can be.

    The 90 second version…

    Did you miss the training session or have to duck out for a few minutes? That’s okay; I can give you the short version here:

    • Custom Alerts allow you to send customized Email or Dashboard alerts to anyone based on the policyIQ Page trigger of your choice.

    • Publish Reason is a reportable field that your publishers can use to better guide readers to important new content and updates.

    • Pages to Read is a window pane that appears in your Dashboard—when pages are thoughtfully published, this feature becomes an invaluable tool for keeping readers up to date!

    • Automatic Email Notification can save time and effort reminding people of common responsibilities noted in policyIQ – do you know if you have the feature enabled?

    • Don’t worry, I can keep a secret! The optional, free WhistleBlower module allows truly anonymous, two-way communication between submitters and investigating agents.

    Wouldn’t it be nice if everyone came with a user manual??!! Well, I do! You can access information about any of these features in my online Help guide (click “Help” in the top right corner of any policyIQ window). I also have a great group of friends that have known me for a long time who would be happy to work with you to implement these features or to get in touch with a professional who can meet you where you are and provide more personalized and specialized assistance. 

    I hope that you enjoyed spending a little bit of time with me and that you are looking for new ways to put me to work for you—I really do want to help!   • Pages To Read as a Communication Tool

    The Pages To Read list on the Dashboard is a useful way to draw attention to your recently Published Pages.  However, over time this list might become cluttered with older items that have yet to be read, which could cause your more recently Published items to be ignored.  To better utilize Pages To Read as a communication tool, you might consider refreshing this listing for all users.

     

     

    At the time of a Publish action, an Administrator is able to select Viewers that are required to view the Page.  This "required" Viewer selection during Publishing triggers the Page to be listed in the Pages To Read Dashboard list.  In most cases, your Viewers are one or more Groups that have been assigned to the Page. Take a moment to consider how your Viewers are listed on the Page, and whether the Groups and Users are the target audience for this Page.  Perhaps you could better organize your Viewer Groups into more targeted subGroups, which would be useful when you want to notify specific users during your Publish action.  This will enable your selection on the Publish window to be more specific, and greatly increase the chances that the Pages To Read listing will be relevant to the logged-on user. 

     

    Pages To Read can be refreshed by Unpublishing a Page, which removes it from the Dashboard of required Viewers who haven’t yet viewed the Page.  Therefore, Unpublishing all Pages with open Pages To Read notifications will cause this Dashboard list to be refreshed and empty for all users.  Of course, you may not know which Pages are still listed in Pages To Read, or you may have a large number of Pages that would require significant time to Unpublish/Republish.  Consider using our policyIQ Custom Support Services to assist, as we're able to perform large scale updates programmatically to help save you time and effort.

  • policyIQ and Internet Explorer 9

    We love new technology.  New gadgets, new programming languages, and upgrades to our favorite software.  But sometimes new technology comes with new complications.

    Microsoft has released Internet Explorer version 9 this week.  During initial testing in the beta software, policyIQ did appear to be fully compatible - however, with the production release of IE 9, we have discovered an issue.  When opening items from policyIQ tables, you'll find that in IE 9, you can open the first item without complication.  However, opening a second item from that table will fail.  (You can refresh the table by clicking on the Folder or left navigation, but that's certainly not a convenient process!)

    Our development team is working to resolve this issue as we speak - but in the meantime, we're suggesting that policyIQ users postpone an upgrade to Internet Explorer version 9*

    For those of you, like us, who love having the latest and greatest version of your favorite software - we sincerely apologize for the inconvenience.  We'll be sure to alert our users as soon as the issue is resolved!

     

    (*This upgrade is not automatic in your Windows update tools at this time, so you will not receive the upgrade without specifically seeking to install it.)

  • Issue Reporting: Take Action Now!

    whistleLet's face it; several companies could have avoided public scandals if they had functioning, efficient whistleblower functions in place to catch issues early. Not only is an effective whistleblower function a key element of corporate governance, but the Sarbanes-Oxley Act mandates that a company has a whistleblower function designed to protect the reporter.

    We know that corporations have spent a lot of time and money in setting up these functions but unfortunately it seems that some companies still aren't doing a good enough job at "policing" themselves.   In come the whistleblower bounty rules under the Dodd-Frank Act, allowing a whistleblower to earn as much as 30% of any settlement the SEC wins based on the information provided to the SEC by the whistleblower.

    I'm sure this has plenty of compliance officers frustrated.  Not only do they need to convince people that reporting these issues early is the right thing to do, now they must find a way to compete against potential multi-million dollar payouts to get that information from whistleblowers! 

    So what can you do?  You can start by making sure that your internal channels of issue reporting are easily accessible and that your corporate culture encourages open and honest feedback.

    Did you know that policyIQ has a whistleblower module?   I realize that all SOX compliant companies already have something in place, you might even be using the module in policyIQ already, but I wanted to share some benefits of this module with the rest of you who might be interested in a way to capture anonymous feedback or even those that may be looking for a different tool.

    1. WhistleBlower is not a separate system. Since WhistleBlower is in a system used frequently by employees, there is no risk that employees do not know where to go when they have an issue. Plus, it's not going to cost you any extra money! Read Only Users (which are always free) can submit cases.
    2. Consider renaming the module and using it for other types of anonymous feedback. You could rename the module something like "Feedback", "Suggestion Box" or "Issues" and provide a great tool to gather information that individuals might otherwise be hesitant to provide.
    3. policyIQ's unique design allows for an anonymous two-way communication between the employee reporting the issue and the designated "agent". When an issue is submitted, policyIQ generates a random alphanumeric key and encrypts the contents of the issue so that only the designated "agent" can access it. The submitting employee can use that same key to open the issue to read or add follow-up comments.
    4. Board and Management reporting provides a snapshot of issues either by status code (i.e. Open, Closed), or by the "agent's" name. The reports display the last activity date of each issue to ensure that issues reported are investigated on a timely basis.

  • Summary Reports Amp Up the Power of policyIQ

    As we shine the spotlight on some of the lesser known policyIQ features, we want to show you how policyIQ's Summary Reports help to simplify your oversight and analysis tasks and make decision-making much easier, too!  You might be familiar with these quantitative reports, but have you explored them to their full potential?  Do you need to know the status of compliance testing?  We can do that.  Contracts by type and region?  Covered.  "Heat Maps" illustrating issues by department and location?  Done. 

    Let's take a look at some of the ways you might use these reports in your policyIQ application.

    Status Reports

    It doesn't matter what you are managing in policyIQ, you are likely to have someone responsible for oversight into the status of the documentation.  It might be something formal like compliance testing - or it might be more informal, such as checking in on whether procedure documents are in draft or published. 

    Do you need to know the answer to any of these questions?

    • What is the status of our audit testing?
    • Do all departments have their policies and procedures published and complete?
    • Where are the issues in my organization, and what is the status of issue resolution?

    Assignments and Distribution of Work

    Did you know that you can create a "Summary Report" that will list out all of the individuals to whom a page is checked out - and summarize their assigned work by any other factor you choose?

    • Who is working on the tasks in my team, and what is the status of those tasks?
    • Who is responsible for open remediation items, and what is the severity of those open items?

    "Heat Maps"  Identify your Hot Spots

    Clients often ask if policyIQ has "heat maps" to show where problem areas exist in the organization.  We give you a qualified "yes": the term "heat map" typically applies to a report with color coding to show problem areas.  We don't have that color coding, but a summary report provides the same functionality (with bonus quantitative results and drill down capability).

    • How many deficiencies have been identified in our compliance program and what processes have the most severe deficiencies?
    • Where is the risk in our business, and what processes or departments have been identified as the highest overall risk?

     

    Improve your Internal Control Environment

    It's no secret that Internal Risks and Controls is one of the most common uses of policyIQ - and there are a slew of ways that summary reports can improve your oversight of that environment.  We'll leave out the obvious testing and deficiency reports (because we've mentioned those above).  How about these other questions you may struggle to answer?

    • Are we over or under controlled in any one process?
    • How many of our controls in each business process are preventive versus detective?
    • Are all of our controls manual? Do we have automated controls in all processes?
    • Do we have controls that meet all of our assertions (financial statement assertions, COSO objectives, etc) in every business process?

    It's not magic.  But it's also not rocket science.

    policyIQ is incredibly powerful - but it's not magic.  (No matter how many times we make our developers read the Harry Potter series, policyIQ is still stuck in Muggle-mode.)  If you want to be able to answer the questions above, you do need to be sure that policyIQ is capturing the necessary pieces of information.  For instance, if you want to be able to report on the tasks or responsibilities of your team, your team does need to be keeping their status updated in policyIQ.   But knowing what questions you want to answer - and that policyIQ can provide those answers - is half the battle.  Contact us and let us get you the rest of the way there by helping you to add Fields or Templates if necessary, and building those Summary Reports!

  • Release 6.7.5: Some minor changes that add major value!

    When the policyIQ team pushes out a "major" release, we make an announcement with a reasonable degree of fanfare.  We send out release notes, schedule an overview of new features via WebEx and provide lots of screenshots to let you know how you can implement new features.

    What you might not know is that we're pushing out "minor" releases on a more frequent basis - but you probably don't hear about these unless you are directly impacted.  For example, in release 6.7.2, we corrected an issue that prevented some users from creating a new user in their policyIQ site.   And in release 6.7.4, we implemented some adjustments that made loading the Dashboard faster (for specific Dashboard items) and retrieving content in Create And Edit Folders a bit quicker, as well.  

    These minor releases are pushed out with no interruption to your site and no impact on current content or users, but they allow us to continue to provide you with improvements quickly.

    So why are we telling you about 6.7.5?

    If we don't normally make a big announcement, why are we so excited about version 6.7.5 that we rolled out over this past weekend?  In this latest minor release, we've added a fantastic new security feature and implemented some performance updates that we think you'll love!

    Lock User Account After X Attempts

    Several of you have asked if it is possible to "lock" a user account after a specific number of invalid login attempts.  The answer now is yes! 

    • Optional feature can be "turned on" under Setup > System Setup > Password Policy by a Site Administrator (or user with equivalent permissions).

    • You decide how many attempts the user is permitted before their policyIQ user account is locked.

    • A locked account must be unlocked by a policyIQ administrator.

    Note: This feature is not available for users currently using LDAP integration, as the account validation for these organizations takes place within the network directory service.

    Additional Performance Improvements

    The policyIQ team continues to improve performance across the application.  Have you noticed that when you save changes to a page that is checked out to you, it can take several seconds to refresh the table of pages?  Some changes implemented in version 6.7.5 will minimize the time required to refresh a table in policyIQ when pages are updated.  Overall, you should find that navigation and table refreshing is a bit quicker and more responsive.

  • How much do you know about policyIQ?


    Did you know that policyIQ was launched in 2002?

    And did you know that the first policyIQ had only a few preset “Page Types” that were not customizable? How about this; did you know that policyIQ has had something like 22 releases, each one chock-full of enhancements requested by you (our customers)?

    Wow, this application has come a long way!  
     


    It would be totally understandable if you missed some of the features and functionality added to policyIQ—while we’ve had a lot going on, you’ve had a lot going on! So, we have decided to take this month’s training session and highlight some helpful features that you might have overlooked.

    Thanks to you, policyIQ continues to mature and to help organizations with all sorts of content management initiatives. So, keep the requests coming!
